A Custom Order Form is a short data-capture form that guests fill in when they place an order through a GXP outlet. It collects the information your team needs to identify and deliver the order — for example, a guest's name, room number, or table.
Forms are created and configured by IRIS. As an admin, your job is to allocate an existing form to the right outlet — you cannot create or edit forms yourself. If you need a new form or changes to an existing one, contact IRIS Support.
How Custom Order Forms work
GXP distinguishes between two types of guests when an order is placed:
| Guest type | Who they are | Custom Order Form shown? |
| Verified Guest | Checked into IRIS Front Desk (via PMS or manual check-in) | No — Standard form shown Last Name & Room Number |
| Non-Verified Guest | Not checked in; identity is unknown to IRIS | Yes — must complete the form before ordering |
If an outlet has no Custom Order Form allocated to it, Non-Verified Guests will not be able to place orders through that outlet at all. Verified Guests are unaffected and can order if this service is enabled.
Allocating a Custom Order Form to an outlet
To enable the Custom Order Form for an outlet:
- Open IRIS Manager and go to Outlet Settings.
- Select the outlet you want to configure.
- Scroll to the Custom Order Form section.
- From the dropdown, select the form you want to assign to this outlet.
- Save your changes.
The form will now appear for Non-Verified Guests when they order through that outlet.
To disable Non-Verified Guest ordering on an outlet, simply remove the allocated form by clearing the selection. Non-Verified Guests will no longer be able to place orders on that outlet.
Settings reference
These settings are visible in the Custom Order Form section within Outlet Settings. They are configured by IRIS on the form itself, not by admins.
| Setting | What it does |
| Custom Order Form | Selects which pre-built form is assigned to the outlet. Clear this field to disable Non-Verified Guest ordering. |
| Capture | When enabled, the guest's form responses are captured and stored for reporting. |
| Send to POS | When enabled, the form responses are sent to the POS system alongside the order. |
Need a new form?
Custom Order Forms can only be created or modified by IRIS. If you need a new form, or changes to the fields on an existing one, raise a request through the IRIS Support portal. Please include:
- The outlet(s) the form is needed for
- The fields you want to capture (e.g. name, room number, table number)
- Whether responses should be sent to your POS system
